Making an Appointment Calendar

The GHL calendar functionality rivals Calendly, and with the ability to create as many different appointment calendars you want, it can't be beat.


This Calendar tool allows for easy meeting scheduling for your clients and their customers. Built into Market Pulse you are able to sync all of your calendars (Google Calendar, iCloud, Outlook, Office 365, etc.) to one place for easy scheduling across the board. 


Step 1: Initial Setup

Connect your work Calendar to MP

  1. Log into MarketPulse
  2. Make sure you are viewing the correct MP profile
  3. Settings -> My Profile
  4. Scroll down to Calendar Settings
  5. Click 'Add New' button and select your work calendar.

  1. Now scroll down a bit further and set your work calendar to also be the update calendar

Video Conferencing

You can connect your video conferencing account (Zoom, Microsoft Teams, or Google meet) so that meetings are built for a video call.

  1. Settings -> My Profile
  2. Scroll down to Calendar Settings and Switch to Video Conferencing Tab
  3. Connect your Zoom Account here


Configure Calendar Preferences

  1. Navigate back to the calendar setting tab: Settings -> Calendars
  2. Click the Preferences tab
  3. Under meeting location, select the Video Tool as your meeting location (Zoom in this example)
  4. Click 'Save Preferences' button

Step 2: Create a Calendar

  1. Navigate back to Calendar Settings
  2. Click "Create a Calendar"
  3. Select the "Round Robin" option
  4. Name your calendar (include your name and amount of minutes in the name)
    Add a description if helpful
  5. Under "Select Team Members" select only yourself
  6. Choose a custom URL Ex: JacobApt-30min
    Notice it includes your name and qty of minutes
  7. Set the meeting duration
  8. Verify that Booking Availability is set to match company hours.
  9. Leave accept payments off


Configure & Customize your Calendar

  1. Now select 'advanced settings'
    1. In this tab you can add a logo and further modify how this calendar acts. 
  2. Assign the calendar to your calendar group
  3. Under the select team members section, verify that your account is set to "High Priority" and "Zoom"

  1. Navigate to the availability tab
    1. Here you can choose how you would like the appointment scheduling to work. This includes how much time is allowed between 2 meetings being scheduled on the same calendar, the minimum notice for scheduling a meeting, and buffer time. Adjust these to your preferences.
    2. Leave available hours to company open hours. Because you are the only contact listed for this
      calendar, a user can only schedule a meeting during your personal set availability. (See how to             connect your personal calendar to GHL)
    3. Date Range: recommend 2 weeks to up to 4 weeks
  2. Navigate to 'Forms & Payment'
  3. Select your calendar form.
    1. Choose 'Calendar (client) for clients
    2. Choose 'Calendar (not a client) for fields:
      Company Name
      URL 
  4. Confirmation Page: Set to 'Redirect URL'
    1. Use: https://gettorchlight.com/appointment-confirmation/ for client meetings
    2. Use: https://gettorchlight.com/calendar-confirmation/ for sales meetings.
      Note: we use the sales meetings URLs to track conversions.
  5. Navigate to 'Notifications & Additional Options'
    1. Notification: Acknowledgement email
    2. Who should receive this notification? : 'Assigned User' only
      Note: we already have a flow that will email the guest.
  6. Check: Allow Google/Outlook Calendar to send invitation
  7. Decide on your 'Cancellation and Reschedule Policy'
    1. Recommend:
    2. Allow Rescheduling - expire 2 hours before the meeting
    3. Allow Cancellation - expire 2 hours before the meeting
  8. Click blue 'Save' button in the top-right corner
  9. Repeat Step 2 - Create a Calendar to make another.
    Recommend: 2 calendars - choose from: 15 min, 20 min, and 60 min


Calendar Groups

Because the calendar tool is so feature rich, you may have several calendars for each person.  MP Allows you to create calendar groups to help organize this.

  1. Navigate back to Calendar Settings
  2. Click 'Create Group' button - this will contain the calendar(s) you create.
  3. Now you can edit previously made calendars and assign them to the preferred group.
